Xero vs QuickBooks in the UAE: which one should your business use?

If you're choosing accounting software for a UAE business, the shortlist is usually Xero or QuickBooks. Both handle the basics. The differences that actually matter here — VAT setup, multi-currency, per-user pricing, and what your accountant prefers — are less obvious. This guide compares them on the things that affect your bill and your compliance, with real prices in AED.

Both bill in USD, so here are the September 2026 list prices converted at roughly 3.67. Vendors change prices often — and both run heavy promos — so compare on the ongoing price, not the intro offer.

Two things worth noticing. First, Xero Early's 20-invoice monthly cap: most trading businesses outgrow it within weeks, so the realistic Xero starting point is Growing at ~AED 202/month. Second, QuickBooks Simple Start's real limit isn't invoices — it's the single user. The moment your accountant needs access alongside you, you're on Essentials.

On promos: Xero has offered up to 90% off the first six months and QuickBooks 50% off the first three. Take the discount, but do the maths on month seven before you commit your books to a platform.

UAE VAT

How each one handles the 5% VAT

Both handle UAE VAT the same way in principle: you set up tax codes for 5% standard-rated, 0% zero-rated, exempt supplies and reverse charge, and the software applies them on invoices and bills. Your TRN goes on the invoice template — configured once — along with the customer's TRN where the rules require it.

  • VAT return workings: Xero produces a VAT return report you map to the VAT 201 boxes; QuickBooks produces tax summary reports you reconcile to the return. Either way the numbers come from the software — see our VAT return guide.
  • The part vendors don't advertise: neither product submits your VAT return to EmaraTax for you. The return is still filed on the FTA portal, by you or your accountant. Our VAT service covers the full cycle.
  • Designated zones and reverse-charge imports: both handle these through tax codes, but the codes must be set up correctly from day one. A wrong default tax code is the single most common VAT error we get called in to fix.
  • Corporate tax: both produce the profit-and-loss and balance sheet your corporate tax workings start from. Neither computes UAE corporate tax for you — that's what our corporate tax service is for.

Price gets you in the door. These are the differences you'll feel every month.

Users and access

Xero gives unlimited users on every plan — accountant, bookkeeper, staff, all in free. QuickBooks sells 1, 3, 5 or 25 seats by tier; a fourth user on Essentials means upgrading to Plus.

Multi-currency

Xero only from Established (~AED 331/mo). QuickBooks from Essentials (~AED 312/mo). If you invoice in USD or EUR and spend in AED, price this tier — not the entry one.

Bank reconciliation

Xero's bank-feed matching is the cleaner of the two — less manual matching each month. Both connect to banks; confirm your specific UAE bank's feed is supported before committing.

Inventory

QuickBooks Plus tracks stock, purchase orders and cost of goods properly. Xero's built-in inventory is basic — trading businesses usually end up bolting on a paid add-on.

Reporting

QuickBooks' built-in reports go deeper out of the box. Xero's are cleaner but simpler; heavy analysis usually means an add-on or a spreadsheet export.

Support

Xero is ticket and email support — there is no phone line. QuickBooks has broader support channels. In practice, UAE businesses lean on their accountant or implementation partner for both.

Payroll

Payroll and WPS: the honest position

Neither Xero nor QuickBooks runs UAE payroll. Xero's payroll modules are built for other countries, and QuickBooks payroll is US-focused — and a separate paid add-on in any case.

  • WPS salary files — the SIF files your bank needs for staff salaries — come from your payroll process or provider, not from either accounting app.
  • If you have staff on visas, budget payroll separately from day one. It is not a checkbox inside your accounting software.

Which should you pick if…

Match the software to your situation, not to a review score

  • You're a freelancer or consultant sending a handful of invoices: Xero Early (~AED 92/mo) is the cheapest workable option — provided you stay under 20 invoices a month. Cross that line and it's Growing (~AED 202).
  • You're a VAT-registered Dubai SME in services: Xero Growing. Unlimited invoices, unlimited users, clean VAT workings. Step up to Established (~AED 331) if you bill in foreign currencies.
  • You're a trading company holding stock: QuickBooks Plus (~AED 514). The inventory tracking justifies the price — this is the one segment where QuickBooks clearly wins.
  • Several staff need access: Xero. Unlimited users against QuickBooks' seat tiers is no contest.
  • Your accountant has a strong preference: follow it. Their speed in a familiar system is worth more than any feature gap, and it shows up directly in your monthly bill.

What actually decides it

The setup matters more than the software

We've onboarded businesses from both platforms. The ones with painless VAT returns and clean audits aren't on the "better" software — they're the ones whose setup was done properly:

  • Chart of accounts mapped to how UAE reports actually look — not the software's generic default.
  • VAT tax codes correct from the first transaction. Fixing six months of wrong codes costs more than the setup did.
  • TRN fields on invoice templates, opening balances reconciled to the bank, and bank-feed rules so categorisation isn't manual.

Xero vs QuickBooks questions, answered

Can Xero handle UAE VAT properly?

Yes. Set up 5%, 0%, exempt and reverse-charge tax codes, put your TRN on the invoice template, and use the VAT return report for your workings. The return itself is filed on EmaraTax — Xero prepares the numbers, it doesn’t file them.

Does QuickBooks work for a UAE business?

Yes, once configured for UAE VAT. There’s no dedicated UAE edition and billing is in USD, but VAT, multi-currency and reporting all work. Essentials (around AED 312/month) is the realistic starting point for a VAT-registered business — Simple Start’s single user is too limiting once your accountant needs access.

Which is cheaper — Xero or QuickBooks?

At comparable SME tiers, Xero Growing (about AED 202/month) undercuts QuickBooks Essentials (about AED 312/month), and Xero includes unlimited users on every plan. Xero Early (about AED 92/month) is the cheapest entry point of either — as long as you stay within its 20-invoice monthly limit.

Do I still need an accountant if I use Xero or QuickBooks?

The software records transactions; it doesn’t review them, fix miscodings, or file anything. Most of the VAT mistakes we get called in to fix come from confident DIY setups. At minimum, have an accountant review the books quarterly — monthly is better.

Can either one handle WPS payroll?

No. Neither Xero nor QuickBooks processes UAE payroll or generates WPS salary files natively. Payroll is a separate process and usually a separate provider — see our WPS payroll guide.

Can I switch from QuickBooks to Xero (or back) later?

Yes. Chart of accounts, contacts, opening balances and transaction history all migrate across. The cleanest time is a financial year-end — and don’t cancel the old subscription until the new books reconcile to the last figure.
