Tax Invoices in UAE VAT

A tax invoice is the one document standing between you and your input VAT claim. Get a single mandatory field wrong and the FTA can disallow the whole amount. Here is exactly what a valid UAE tax invoice must contain, when you must issue it, and the mistakes we see most often.

The non-negotiables

What makes an invoice a tax invoice

The FTA lists specific fields every tax invoice must show. Miss one and the invoice is not valid for VAT purposes, which means your customer cannot recover the input VAT on it.

1. Supplier details

Your legal trade name, address, and TRN. The TRN is the field auditors check first. If it is missing or wrong, the invoice fails immediately.

2. Invoice identifiers

A unique sequential invoice number and the date of issue. Numbers must run in sequence with no gaps you cannot explain.

3. Customer details

The recipient's name, address, and TRN where they are registered. For B2C sales to unregistered individuals, name and address are enough.

4. Supply description

A clear description of the goods or services, the quantity, and the unit price. Vague lines like "services rendered" invite questions.

5. Values and VAT

The total excluding VAT, the VAT rate applied, the VAT amount in AED, and the total including VAT. Show the rate per line if you sell at mixed rates.

6. Currency and rate

If you invoice in a foreign currency, show the VAT amount converted to AED using the Central Bank rate on the supply date.

The 14-day rule

When you must issue the invoice

You must issue a tax invoice within 14 days of the date of supply. The date of supply is usually the date the goods are delivered or the service is completed, not the date you get paid. Late invoicing is a compliance failure the FTA can penalise, and it also delays your customer's input VAT claim, which strains the relationship.

For continuous supplies, like monthly retainers or rental contracts, each billing point creates its own 14-day window. Set your accounting software to auto-generate invoices on the supply date so the deadline never slips. Our VAT services include invoice template reviews that catch missing fields before the FTA does.

The shortcut

Simplified tax invoices

For retail-style supplies to end consumers, the FTA allows a simplified tax invoice. This is the receipt-style document you get at a supermarket or restaurant. It needs fewer fields: your name, address and TRN, a description of the goods, the total including VAT, and the VAT amount or a statement that the price includes VAT.

You can only use simplified invoices where the customer does not need to recover input VAT, typically B2C sales. If you are invoicing a VAT-registered business, issue a full tax invoice every time. When in doubt, issue the full version, it is always acceptable.

Mistakes we see

The invoice errors that cost real money

The most expensive mistake is issuing invoices without being registered, or charging VAT before your TRN is active. That VAT was never due and creates a mess to unwind. Close behind: missing TRNs, wrong VAT amounts from spreadsheet rounding, and invoices issued months after the supply.

  • Missing TRN on either side of a B2B invoice
  • Charging 5% on zero-rated or exempt supplies
  • No sequential numbering, gaps with no explanation
  • Foreign currency VAT not converted to AED
  • Credit notes issued without referencing the original invoice

Receiving end

What to do when a supplier invoice is wrong

You cannot claim input VAT on an invoice that does not meet the FTA requirements, no matter how legitimate the underlying purchase was. When a supplier sends you an invoice with a missing TRN, a wrong VAT amount, or no sequential number, the correct move is to ask for a corrected invoice before you include it in your return.

Most suppliers fix these quickly when asked, it is usually an oversight rather than a dispute. Send a short email listing exactly what is missing, referencing the FTA requirements. Keep a copy of the request. If the supplier refuses or disappears, you have a commercial problem as well as a tax one: without a valid invoice, the input VAT is simply not claimable, and claiming it anyway puts you at risk in an audit.

For recurring suppliers, agree the invoice format once at the start of the relationship. Share a one-page checklist of the mandatory fields and ask their accounts team to confirm their template covers everything. This single conversation prevents a steady drip of corrections every month. Businesses that do this spend almost no time on invoice queries, those that do not spend hours every quarter chasing paperwork.

Credit notes deserve the same attention. When a supplier issues you a credit note, it must reference the original invoice number and show the VAT adjustment clearly. You then reduce your input VAT claim in the period you receive the credit note. Unmatched credit notes floating in your ledger are exactly the kind of thing auditors question, so reconcile them monthly as part of your return preparation.

Tax Invoices in UAE VAT FAQs

Questions about tax invoices in uae vat

What must a UAE tax invoice include?

Your trade name, address and TRN, a unique sequential invoice number, the issue date, the customer's name and address (plus TRN if registered), a description of the goods or services, quantities, unit prices, the VAT rate, the VAT amount in AED, and the total including VAT.

How quickly must I issue a tax invoice?

Within 14 days of the date of supply. The date of supply is when goods are delivered or services completed, not when payment arrives.

What is a simplified tax invoice?

A shorter receipt-style invoice allowed for B2C sales where the customer will not recover input VAT. It needs your details, TRN, description, and the VAT-inclusive total. For B2B sales to registered businesses, always issue a full tax invoice.

How long must I keep tax invoices?

At least 5 years from the end of the tax period they relate to. The FTA can request them during an audit, and missing records can lead to disallowed input VAT claims.

Can I issue tax invoices before my TRN is active?

No. You must not charge VAT or issue tax invoices until your registration is effective. VAT charged before registration creates a compliance problem you will have to unwind.

What happens if my supplier's invoice is missing the TRN?

You cannot safely claim the input VAT. Ask the supplier for a corrected invoice before you include it in your return. Claiming input VAT on an invalid invoice is one of the first things FTA auditors check.
