5% VAT, TRN invoices, FTA-ready records
VAT-Compliant Accounting Software in the UAE
Finding the best accounting software in the UAE for VAT is not about the logo. It is about configuration: correct 5% tax codes, your TRN on every tax invoice, and records the FTA accepts. We implement, configure and train your team on VAT-compliant accounting software in the UAE, so your VAT position is right from day one.
The honest framing first
What VAT-compliant actually means under UAE rules
Search for "FTA approved accounting software in the UAE" and you will find vendors claiming approval. Here is the truth, plainly: the FTA has never published an approved or certified software list. A VAT-compliant setup is not a badge you buy. It is correct VAT configuration, measured against actual FTA rules.
Compliance is configuration, not a certificate
What the FTA actually checks is your records, your invoices and your returns. Your software is compliant when it produces tax invoices in the FTA format, applies the right tax treatment to every transaction, separates input and output VAT cleanly, and keeps a full audit trail for 5 years. Any of the main platforms can do this, and every one of them can do it wrongly if the setup is sloppy.
This is why our implementations are run by accountants, not generic software vendors. Founder Mubashir Rao is a CPA (Canada) with an MBA in Finance and 14+ years of finance experience in Dubai, and our Zoho Books implementation playbook covers VAT-ready setup, data migration, staff training and ongoing support.
The five things a compliant setup must produce
- Tax invoices in FTA format, with your TRN, sequential numbering, and the 5% VAT shown separately.
- Correct tax treatment per transaction, 5% standard rate, 0% where the law allows, exempt and out-of-scope handled separately, never mixed into one code.
- Input and output VAT tracked separately, so your VAT return figures come from the system, not a spreadsheet rebuild.
- Credit notes linked to the original invoice, posted properly when values change after invoicing.
- A 5-year audit trail, records the FTA can request and read, in English or Arabic, without a reconstruction exercise.
What the law demands
What the FTA expects: TRN invoices, tax records, retention
Your software is the tool. These are the rules it must satisfy, from Federal Decree-Law No. 8 of 2017 on Value Added Tax and FTA guidance on tax invoices and record-keeping.
TRN invoices, issued on time
Every tax invoice must show your Tax Registration Number, a unique sequential number, and the VAT amount charged. Tax invoices must be issued within 14 days of the date of supply. If your software issues invoices late, or issues "invoices" that are not tax invoices at all, the compliance gap shows up in an FTA review, not in your dashboard.
Records the FTA can follow
You must keep books and records that let the FTA verify your VAT returns: sales and purchase invoices, credit and debit notes, import and export documentation, and the workings behind every return. VAT records must be retained for 5 years. A system that buries old data, or stores it where nobody can retrieve it, fails this test.
Registration and filing, handled honestly
VAT registration itself happens on the EmaraTax portal, not inside your software. Registration is mandatory once taxable supplies cross AED 375,000, and available voluntarily from AED 187,500. Late tax registration can attract an AED 10,000 FTA penalty. Our VAT services cover registration support, 5% workings and filing readiness, with registration and filing support run through FTA-registered partner firms, while software setup, configuration, migration and training is our own work.
Platform by platform
How the main platforms handle UAE VAT
Zoho Books, Xero, QuickBooks, Tally and Odoo can all handle UAE VAT. None of them does it perfectly out of the box. What matters is how much correct configuration each one needs.
| Platform | UAE VAT handling | Good fit for | Watch out for |
|---|---|---|---|
| Zoho Books | UAE VAT edition with built-in TRN fields, tax codes and VAT return reports | SMEs that want the closest to a ready-made UAE VAT setup | Still needs tax-code and invoice-template setup; our implementation playbook covers it |
| Xero | Flexible tax rates and invoice customisation; no native UAE VAT return mapping | Service businesses and firms with accountants already on Xero | VAT return figures need mapping to EmaraTax boxes during setup |
| QuickBooks | Configurable tax tracking, simple invoice setup | Small businesses with simple, mostly 5% VAT positions | Easy to misconfigure with one tax code for everything; needs discipline |
| Tally | VAT-capable with correct configuration; widely used by trading SMEs | Trading and inventory-heavy businesses, especially Indian-owned SMEs | Configuration depth is high; defaults are not UAE-ready |
| Odoo | VAT module inside a broader ERP; strong for inventory and multi-entity | Businesses needing ERP-lite: stock, purchasing and accounting in one place | Overkill for simple VAT positions; implementation cost is higher |
For the wider comparison beyond VAT, see our guide to accounting software in the UAE. If you run stock-heavy operations, our Odoo implementation in the UAE covers the full ERP setup with VAT configured inside it.

The VAT setup checklist we run on every implementation
No black box. This is exactly what changes when we set up VAT-compliant accounting software for your business.
- Chart of accounts, with separate ledgers for output VAT and input VAT, so the return reads straight from the books.
- Tax codes, 5% standard, 0%, exempt and out of scope as separate codes, each mapped to the right transactions.
- Company profile, TRN, legal name and address set once, so every tax invoice carries them automatically.
- Invoice templates, rebuilt to FTA format: TRN, sequential numbering, VAT shown separately, 14-day issue workflow.
- Customer and supplier TRNs, captured and validated at master-data level, not typed freehand on every invoice.
- Credit note workflow, linked to the original invoice, with reasons recorded.
- VAT return mapping, system figures mapped to EmaraTax return boxes, tested against one real period before go-live.
- User roles and approvals, who can post, who can edit, who approves a credit note.
- Opening balances migration, clean cutover with correct opening VAT balances, reconciled to the last filed position.
- Staff training, your team learns the VAT workflow: invoicing, credit notes, and the month-end VAT reconciliation routine.
The costly mistakes we prevent
Common VAT mistakes bad software setup causes
- One tax code for everything, 5%, 0% and exempt sales posted to a single code, so the VAT return is wrong at the source.
- Invoices without a TRN, documents that look like invoices but are not tax invoices, and get rejected in a review.
- Input VAT claimed on blocked items, expenses where the law denies recovery, claimed anyway because the code allowed it.
- Credit notes posted loose, not linked to the original invoice, breaking the audit trail.
- Missing the 14-day rule, tax invoices issued late, or never issued, for supplies already made.
- Books that cannot produce a return, month-end becomes a spreadsheet rebuild because the system was never mapped to EmaraTax.
Fit, not fashion
Which software fits your business and VAT position
Start from your VAT position, then pick the platform. Your position is set by what you sell and how much of it.
Simple VAT position, mostly 5% supplies
Most service businesses and small traders sit here. Zoho Books or QuickBooks, configured correctly, handle everything: TRN invoices, input and output VAT, quarterly figures. Simple does not mean careless, the tax codes and invoice templates still need the full checklist.
Trading, inventory or multi-branch
Stock movements, imports and multiple locations add VAT complexity. Tally and Odoo earn their place here, with inventory-linked tax treatment and branch-level reporting. Our Odoo implementation in the UAE covers this end to end.
Mixed supplies, exempt or 0% items
Healthcare, education, financial services and mixed businesses need careful tax-code design, because 5%, 0% and exempt supplies must never share one code. This is where accountant-led setup pays for itself. Our VAT services advise on the treatment, and the software is configured to match.
Not sure of your position?
If you are unsure whether you need VAT registration at all, our VAT registration consultants in the UAE check your threshold position: mandatory at AED 375,000 of taxable supplies, voluntary from AED 187,500. Registration and filing support runs through FTA-registered partner firms; the software setup itself is our own work.
VAT software FAQs
VAT software questions, answered
What are FTA approved accounting softwares in UAE?
There is no public FTA-approved or certified software list. The FTA registers businesses for VAT, not software. A setup is compliant when it produces TRN tax invoices in FTA format, applies correct tax treatment, separates input and output VAT, and keeps 5-year records. Treat any "FTA approved" badge as marketing, and judge the setup against the rules instead.
Which accounting software is best for VAT in the UAE?
It depends on your business. Zoho Books has a UAE VAT edition that is closest to ready-made. Xero, QuickBooks, Tally and Odoo all handle UAE VAT when configured correctly. Pick the platform that fits your size and operations, then invest in proper VAT configuration, that is what decides compliance, not the logo.
What must accounting software do to be VAT compliant in the UAE?
It must issue tax invoices showing your TRN within 14 days of supply, apply the right tax code to every transaction, track input and output VAT separately, post credit notes linked to the original invoice, retain records for 5 years, and produce figures that map to the EmaraTax VAT return. If yours cannot do all of this, the setup needs fixing.
Does my software need FTA registration or approval?
No. The FTA does not register or approve accounting software. Your business needs VAT registration on the EmaraTax portal once taxable supplies cross AED 375,000 (voluntary from AED 187,500). Your software only needs correct VAT configuration. Registration and filing support runs through FTA-registered partner firms.
Can Tally handle UAE VAT compliance?
Yes, when configured correctly. Tally supports 5% tax codes, TRN fields and UAE invoice formats, and it suits trading and inventory-heavy SMEs. It needs deeper configuration than plug-and-play options, so get the setup and team training done properly rather than relying on defaults.
