VAT consultancy in the UAE
How to choose a VAT consultant in the UAE
Choosing a VAT consultant is a decision you live with every tax period. The right consultant keeps your registration, your returns and your records in order, and answers the awkward questions before the Federal Tax Authority asks them. The wrong one files what you send, never challenges a figure, and leaves you to explain a problem you did not know you had. This guide explains how to judge a VAT consultant in the UAE: what to check first, which credentials matter, how fees and engagement models work, the red flags that should stop you, and the exact questions to ask before you sign. It is a choosing guide, not a sales page. Where you need hands-on help rather than advice, the service option is linked at the end of the relevant sections.
Start with the job, not the title
What a VAT consultant actually does
VAT consultancy is a broad label. Before you compare firms, pin down which of these four jobs you need, because the right consultant for one job is not always right for another.
Registration and threshold advice
Working out whether you must register, whether voluntary registration helps you, and how your turnover counts toward the threshold. If your taxable supplies are near AED 375,000, this is the first question to settle, and our VAT registration threshold guide explains how the test works.
Treatment advice on real transactions
Deciding how VAT applies to your actual sales and purchases: zero-rated exports, exempt supplies, imports, reverse charge items, and designated zone movements. This is where most costly mistakes start, and it is the work that separates a consultant from a return filer.
Return review and filing discipline
Checking the workings behind each return, claiming the input VAT you are entitled to, and keeping the filing and payment inside the 28-day window. A consultant who only files what you send, without reviewing it, is doing half the job.
FTA correspondence and representation
Handling queries, audits, clarifications and voluntary disclosures with the Federal Tax Authority. Where formal representation before the FTA is required, it is handled through our FTA-registered tax partners, and any firm you shortlist should be able to explain its own route for this in plain terms.
If you already know you want the registration handled for you, the VAT registration consultant service covers eligibility, the EmaraTax filing and the TRN. If you want the full picture first, the VAT services hub sets out everything from registration to filing in one place.
The shortlist test
Seven checks before you hire
Run every candidate through these seven checks. A strong firm answers all seven without hesitation. A weak one dodges two or three of them.
- FTA route, stated clearly. Ask who signs and submits on your behalf and what happens when formal representation is needed. You want a named route, through FTA-registered tax partners where required, not a vague promise that everything is covered.
- UAE VAT experience in your type of business. A consultant who mainly serves mainland traders may be a poor fit for a free zone exporter, a freelancer billing overseas clients, or an e-commerce seller. Ask for examples from businesses shaped like yours, with names removed.
- A named person, not just a firm. Ask who will actually handle your file month to month, how experienced they are, and what happens when they are on leave. Firms that sell you a senior partner and hand you to a junior should say so up front.
- Scope in writing, before any fee is quoted. The proposal should list exactly what is included: registration, returns, treatment advice, FTA correspondence, record keeping. Anything missing from the list is either extra cost later or work nobody does.
- Record keeping to the 5-year standard. VAT records in the UAE must be kept for five years. Ask how your invoices, workings and submission proofs are stored, and whether you can get them back in full if you leave.
- How they catch errors, not just how they file. Ask what their review step looks like: who checks the workings, what reconciliations run before submission, and how a correction is handled when a figure changes after filing.
- References you can actually call. Two or three current clients in a similar line of business, willing to take a short call. A firm with happy clients offers them. A firm that refuses, or offers only anonymous testimonials, is telling you something.
Red flags
Warning signs that should stop you
Some warning signs are obvious once you know them. If a candidate shows any of these, pause the conversation and ask for a straight answer before you go further.
- Guaranteed refunds or guaranteed outcomes. No honest consultant guarantees an FTA result. A refund depends on your figures and the FTA, not on a promise made in a sales call.
- No written scope, only a monthly price. A price without a scope is a blank cheque. You cannot compare two quotes, or hold anyone to account, when neither states what is included.
- Advice without seeing your records. A consultant who quotes treatment advice before looking at your invoices, contracts and trade licence is guessing. Good advice starts from your documents.
- Your records held hostage. If leaving means losing your own workings, invoices or submission proofs, that is a control tactic, not a service. Your records belong to your business.
- Pressure to sign today. A deadline invented by the seller is not a deadline. Registration and filing deadlines are real, and they are set by the FTA, not by a sales target.
- One price for every business. A freelancer filing quarterly and a trading company filing monthly do not cost the same to serve. Identical pricing for both usually means identical attention for neither.
Fees and engagement models
How VAT consultancy is usually charged
No fee figure in this section is a quote. Fees vary with your tax period, transaction volume and record quality, and any firm that quotes a number before seeing your records is guessing. What matters at shortlist stage is the model, and what each model leaves out.
Common engagement models
| Model | Best for | Watch out for |
|---|---|---|
| Monthly retainer | Businesses filing every month or quarter who want ongoing cover | What counts as included advice, and what is billed as extra |
| Fixed project fee | One-off jobs: registration, a voluntary disclosure, a treatment review | Whether FTA correspondence after submission is included |
| Hourly advice | A single complex question, such as one unusual transaction | Open-ended hours with no cap agreed in advance |
| Filing plus advisory bundle | Businesses without an in-house accountant who want one provider | Whether the advisory side is real review work or a label on filing |
Ask every candidate which model they propose for you, what is excluded, and how the fee changes if your volume grows. Get the answer in writing.
A useful price signal from the other side: a single late filing penalty is AED 1,000 per return, and late registration carries a far heavier penalty. A consultant who keeps every period on time usually pays for their own fee in penalties avoided alone, but that is a reason to hire well, not a reason to hire fast.
Use these in the meeting
Questions to ask every candidate
Take this list into the first meeting. The quality of the answers matters more than the polish of the pitch.
- Who will handle my file, and what is their VAT experience?
- How do you handle formal representation before the FTA?
- What is included in your fee, and what is billed separately?
- How do you review my workings before a return is submitted?
- What happens if a return needs correcting after filing?
- How are my records stored, and can I take them with me if I leave?
- How quickly do you respond when the FTA writes to me?
- Can I speak to two current clients in a similar business?
If you are still deciding whether you even need to register, start with the online VAT registration guide, which walks through the EmaraTax route step by step. If registration is already settled and the question is who handles the work, bring these eight questions to a Free Finance Review and we will answer them for our own service directly.
The process
A sensible shortlist, step by step
Six steps, in order. Most businesses can complete this in two weeks without rushing any of it.
- Define the job. Write down what you need: registration, treatment advice, returns, FTA cover, or all four. Send the same brief to every candidate so the quotes are comparable.
- Shortlist three firms. Three is enough to compare properly. More than that turns the decision into a research project of its own.
- Meet the person who will do the work. Not only the salesperson. Ask them the eight questions above and note which answers are specific and which are vague.
- Compare scope, not just price. Line the three proposals up side by side and mark what each one leaves out. The cheapest quote is often the one with the shortest list.
- Check references. Call the clients each firm offered. Ask one question above all: when something went wrong, how did the firm handle it.
- Start with a defined first job. A registration, a first return, or a treatment review gives you real evidence before you commit to a long retainer. If the first job goes well, the retainer decision makes itself.
We provide all services, ourselves and with our licensed partners, on exactly that basis: a Free Finance Review first, a defined first job next, and an ongoing arrangement only once you have seen the work.
Choosing a VAT consultant FAQs
Your questions, answered
Do I need a VAT consultant, or just someone to file my returns?
If your transactions are straightforward and your records are clean, filing support may be enough. If you deal with exports, imports, designated zones, mixed supplies or FTA queries, you need treatment advice as well as filing, and that is the consultant's job. The deciding factor is complexity, not company size.
Should my VAT consultant be FTA-registered?
Formal representation before the Federal Tax Authority must run through the proper registered route. Ask any candidate to explain their route in plain terms: who signs, who submits, and who speaks to the FTA on your behalf. At BizNex, formal representation is delivered through our FTA-registered tax partners.
How much does a VAT consultant cost in the UAE?
Fees depend on your tax period, transaction volume, record quality and the scope of advice, so no honest figure exists before a firm sees your records. Compare the model and the written scope first: retainer, fixed project fee, hourly advice, or a filing plus advisory bundle. Bring your last return to a Free Finance Review and we will quote the exact arrangement for your business.
What is the difference between a VAT consultant and a VAT filing service?
A filing service handles your returns: workings, EmaraTax submissions, deadlines. A VAT consultant goes further: registration and threshold planning, treatment advice on complex transactions, and representation strategy before the FTA. Many businesses start with filing and add consultancy as their transactions grow more complex.
What red flags should I watch for when choosing a VAT consultant?
Guaranteed refunds or guaranteed FTA outcomes, a monthly price with no written scope, advice given before your records have been seen, and records you cannot take with you if you leave. Pressure to sign on the spot is another warning sign. Any one of these is a reason to pause and ask for a straight answer.
Can I change VAT consultant later?
Yes. Your VAT registration and your records belong to your business, not to your consultant. Before you switch, confirm you can take your full workings, invoices and submission proofs with you, and agree a handover point between tax periods so no return falls between two firms.
How do I check whether I even need to register for VAT?
Registration is mandatory once your taxable turnover crosses AED 375,000, and voluntary registration opens from AED 187,500. If you are near either figure, check how your turnover counts before you decide: the threshold guide linked above explains the test, and a Free Finance Review can confirm your position from your actual figures.
